Privacy notice

How we use and look after your personal information.

Who we are

Ren’s Rescue, working as Ren’s Wildlife Hospital, is responsible for the personal information described here. Our registered charity number is 1184052.

For privacy enquiries, contact pamela@rensrescue.org, telephone 07477 461481, or write to Rose Garth, Hull Road, Keyingham, Hull, HU12 9ST.

Information we collect

When you contact us, support our work or complete a form, we may collect your name, contact details and information you provide about an enquiry, wildlife rescue, volunteering or donation.

The Gift Aid form collects your name, home address, postcode and declaration, with an optional donation amount and date. We also record the submission date and a reference number. Providing a declaration is voluntary, but we need the required information to claim Gift Aid.

Hosting providers may process technical information, including your IP address and browser details, to deliver and protect the website.

Why we use your information

  • To respond to enquiries and arrange wildlife rescue or admission.
  • To handle volunteering enquiries and administer donations.
  • To claim Gift Aid and maintain financial and charity records.
  • To keep the website and our records secure.

We use your information where reasonably necessary to run the charity—for example, to answer your enquiry, arrange animal care or handle your donation. Data protection law calls this “legitimate interests”. We rely on legal obligations for financial and tax records. If we ask for your consent for a particular use, you can withdraw it by contacting us.

Who can access your information

Authorised charity staff and volunteers can access information they need for their role. We may share relevant details with veterinary practices or other rescues when arranging animal care, our accountant and professional advisers, and HMRC for Gift Aid claims.

OpenAI provides our website hosting through ChatGPT Sites, using Cloudflare infrastructure and storage. Gift Aid declarations are held privately with access restricted to authorised charity administrators.

Staff sign-in uses ChatGPT account information, including the administrator’s account identifier and email address, to check access. Visitors do not need to sign in to submit a Gift Aid declaration.

PayPal processes donations made through its service under its own privacy notice. Our Gift Aid form does not collect card details.

International processing

Our hosting providers may process information outside the UK, including in the United States. OpenAI’s ChatGPT Sites Data Processing Addendum provides safeguards for UK personal information through Standard Contractual Clauses and the UK International Data Transfer Addendum. You can contact us for details, or read the hosting agreement.

How long we keep information

We retain enquiry and rescue correspondence for as long as needed to handle the matter and relevant follow-up, complaints or record-keeping requirements. We consider the nature of the enquiry, any ongoing relationship and applicable legal requirements when deciding when to delete it.

Financial records are normally retained for at least six years after the relevant financial year. Gift Aid declarations are kept throughout their use and for at least six years after the latest donation on which Gift Aid was claimed, and longer where applicable tax-record requirements require it.

Cookies and external services

We use optional Google Analytics measurement. It loads only if you choose to allow measurement. If you decline or close the choice without agreeing, no Google Analytics tag loads. Hosting security and staff sign-in services may use necessary cookies.

We load fonts from Google Fonts. Your browser connects to Google to obtain these fonts, which shares technical information such as your IP address with Google.

External websites, including PayPal, have their own privacy and cookie notices.

Optional website measurement

With your permission, Google Analytics helps us understand which pages people use and whether they take useful actions, such as successfully submitting a Gift Aid declaration, clicking to open PayPal, or clicking a telephone or email link. A click to PayPal does not confirm that a donation was made; a telephone or email click does not confirm that a conversation took place.

We use your consent for this measurement. Google may receive technical information such as your IP address, browser and device details, the page visited and the action taken. We do not send names, addresses, email addresses, telephone numbers, Gift Aid answers, donation amounts or declaration reference numbers through this tracking. We remove query strings and fragments from page addresses sent to Analytics. Personalised advertising and Google Signals are disabled.

If you allow measurement, Google Analytics can use cookies such as _ga and _ga_ followed by an identifier to recognise your browser. These are configured to last up to 180 days. Our necessary cookie-choice preference is saved in your browser’s local storage for 180 days. You can change or withdraw consent using Cookie settings in any page footer. Withdrawing stops further measurement and removes the Analytics cookies we can access on this website. You can contact us about information already collected.

Google may process measurement information outside the UK, including in the United States. See Google’s privacy notice and how Google uses information from sites that use its services. Google Analytics user and event data retention is set to two months, with the reset on new activity switched off. Aggregated reports may be retained for longer.

Your rights

Depending on the circumstances, you can ask to access, correct or delete information, restrict its use, or receive a portable copy. Some records must be kept to meet legal obligations.

You can object to uses based on our legitimate interests. You can object to direct marketing at any time.

Contact us using the details above to make a request or raise a concern. You can also complain to the Information Commissioner’s Office.

Changes to this notice

We will update this page when our handling of personal information changes.
